Marketing and Communications Coordinator Location Hybrid work in Geneva, IL : Description:
The Marketing and Communications Coordinator is a key member of the Development Team, responsible for overseeing all aspects of the organization's marketing, communications, advertising, social media, and website content. This role will develop and distribute creative, brand-aligned content across multiple platforms—including the website, blog, press releases, flyers, invitations, social media, newsletters, and promotional materials for special events and fundraising campaigns. This position plays a critical role in increasing public awareness of the mission, recruiting volunteers, and securing financial support through creative marketing and communication efforts. Responsibilities
Working in conjunction with the Development team, support the overall marketing and communications strategy and priorities which will vary across multiple areas, including but not limited to:
- Communications Calendar Management: Oversee the master communications calendar, ensuring timely scheduling and execution of all marketing and communication efforts including emails, newsletters, press releases, event solicitations, direct mail, and social media across platforms (FB, LI, Insta, X, TikTok, YouTube).
- Content Creation and Branding: Develop digital and print materials for all CASA-hosted events—fundraising, awareness, education, and recognition—including signage, banners, flyers, and social media content, adhering to CASA's brand standards.
- Sponsorship Support: Collect and organize all sponsor logos and ensure delivery of sponsor benefits based on sponsorship levels for each event.
- Email, Social Media, and List Management: Create monthly e-newsletters and social media content, manage workflows for targeted constituent communications, maintain email/contact lists, and report engagement analytics to the team regularly.
- Website Oversight: Maintain and update CASA's website with current content, blog posts, images, registration links, event information, and SEO best practices.
- Impact Storytelling: Curate and organize a library of success stories, statistics, and other program-related content to share with donors and media partners for storytelling and outreach purposes.
- Community Engagement: Represent CASA at community events and networking functions to build awareness and attract volunteers and donors. Occasional public speaking is required.
- Media Relations and Advertising: Write and distribute press releases, maintain accurate press distribution lists, cultivate relationships with media representatives and coordinate press kits for events. Also oversee video production, photography, media coverage, and print/digital ads—seeking out low- and no-cost opportunities to enhance visibility.
- Print Materials Management: Oversee inventory and updates of printed marketing materials. Coordinate printing, distribution, and ensure courthouse flyer holders remain current and stocked.
- Event Assistance and Support: Support team efforts in securing ads, in-kind donations, raffle items, sponsorships, and new event attendees and donors. Assist with setup, execution, and cleanup of CASA-hosted events, donor and volunteer recognition evenings, conferences, and outreach activities.
- Committee Participation: Actively participate in the Donor Development and Marketing Committee, Children's Advisory Council (CAP), and other relevant planning committees.
- Awareness Campaigns and National CASA Engagement: Stay current on CASA National and CASA Illinois marketing campaigns and resources, key annual dates (e.g., April's Child Abuse Prevention Month, Giving Tuesday, foster/adoption months, Volunteer Recognition Month), and promote related content regularly.
- Other Duties: Perform additional projects and responsibilities as assigned to support CASA Kane County's mission and strategic initiatives.
Qualifications
The Marketing and Communications Coordinator should have the following qualifications, skills and experience:
- Experience managing social media, public relations, and marketing with professionalism and creativity.
- Proven experience working with diverse teams and promoting a positive organizational brand image.
- Strong communication, listening, and negotiation skills for internal and external engagement.
- Strong verbal and written communication skills, with the ability to speak and write persuasively about CASA.
- Excellent organizational and time management abilities.
- Self-motivated, goal-oriented, and energetic, with a consistently positive attitude.
- Skilled in engaging with a wide range of stakeholders, including the public, government officials, attorneys, court personnel, media, funders, staff, board members, and volunteer advocates.
- Demonstrated analytical skills for process improvement and expanding opportunities in marketing, communications, volunteer engagement, and development.
- Maintains strict confidentiality of donor and volunteer records.
- Strong skills in organization, presentation, and setting priorities.
- Detail-oriented with strong problem-solving skills and sound judgment.
- Ability to respond to instructions from managers, peers, and stakeholders in person, phone, and in writing.
- Ability to handle complex problems involving multiple variables in standard scenarios.

- Excellent multitasking abilities with a strong track record of meeting deadlines.
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook, Teams, Adobe Acrobat, and Canva Pro.
- Experience with Constant Contact for email marketing and CRM databases (DonorPerfect preferred).

- Must possess reliable transportation and a valid driver's license.
Education and Experience
- Our ideal candidate will have a Bachelor's degree in marketing, communications, or other related field
- 3-5 years in media, social media, and event marketing experience.
Physical Demands
While performing the duties of this job, the employee is frequently required to communicate effectively, listen attentively, and utilize vision. The employee is often required to sit, stand, walk, and reach with hands and arms. Occasionally, the employee may be required to lift, push, or move objects weighing up to fifty (50) pounds.
Work Environment
The noise level in the work environment is usually moderate.
Availability
Must be available for frequent evening and weekend functions.
