Position: HR & Admin Executive (Fresher/Entry-Level)

Location: Tampa FL – 33647 (5 days Onsite role)

Job Description:

  • We are seeking a motivated and detail-oriented HR & Admin Associate to join our team in Tampa, Florida, the
  • United States. The ideal candidate will manage the HR operations, and the administrative functions of the company
  • with less than 50 employees. This role will be suitable for a recent graduate or entry level Human Resource & admin
  • professional with strong analytical, documentation, and data analysis skills.

Key Responsibilities Human Resources:

Recruitment and Hiring:

  • Designing job descriptions, conducting interviews and screening of candidates, handling background checks and reference checks,
  • Preparing offer letters and on/offboarding documents.

Benefits Administration:

  • Helping to design benefits, enrolling employees with employer-sponsored medical insurance plans, managing open enrolments, working close with brokers or insurance providers, and managing leave records.

Compliance and Legal:

  • Maintaining compliance with federal and Florida labour laws, posting required labour law posters, keeping up with Occupational Safety and Health Administration and Equal Employment Opportunity Commission requirements, ensuring the safety of employee’s personal information and tracking employee documents and confidentiality agreements.
  • HR Policies & Employee Relations:
  • Drafting and updating the employee handbook and implementing the HR policies, acting as a point of a contact for employee issues, concerns, conflicts, and complaints.

Administrative Support:

  • Manage day-to-day administrative tasks, including office supplies, travel coordination, and meeting arrangements.
  • Support general office management tasks.

Documentation & Compliance:

  • Prepare and manage company documentation such as offer letters, contracts, and policy manuals.
  • Maintain up-to-date digital and physical filing systems in compliance with company and regulatory standards.

Accounting Support:

  • Assist with basic accounting entries, invoice processing, and vendor payment coordination in collaboration with the finance team.

Educational, Experience & Skill-Sets Requirements:

  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • Preference for Certifications on Human Resources Management and the certification on office administration.
  • 0–3 years of relevant experience in HR, admin, or support functions.
  • Proficiency in Microsoft Office tools – Excel (formulas, pivot tables, macros), Word, PowerPoint, and Power BI.
  • Basic understanding of payroll processes, accounting principles, and HR documentation.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong organizational abilities.
  • Ability to maintain confidentiality and handle sensitive information professionally.
