Job Description

Location: Plano Texas Mixed remote and in person (3-4 days per week in office)

You'll be protecting our time, managing operational chaos, organizing priorities, and handling critical functions so we can stay focused on building and scaling.

Key Responsibilities:

  • Work with our fractional HR partner to manage payroll and benefits
  • Handle employee onboarding and offboarding
  • Create and maintain department reporting systems (Partner and Patient Success)
  • Own the company calendar and coordinate internal meetings
  • Manage internal communications (especially Slack)
  • Organize and manage Google Drive folders, SOPs, and internal docs
  • Build and maintain systems for company ops: surveys, recognition, gifting, feedback, etc.
  • Generate weekly reporting for Sales and Marketing departments
  • Source contractors for design, video editing, and course material development
  • Perform quality checks on decks, playbooks, and public-facing assets
  • Support Josh with relationship management on strategic accounts and partnerships
  • Manage inbox and triage communication
  • Calendar management (sync personal/business priorities)
  • Order meals, gifts, and other personal/family logistics as needed

Requirements:

  • 3+ years experience supporting an executive in a fast-paced, high-performance environment
  • Impeccable attention to detail—you catch typos, missed deadlines, and broken systems before they're noticed
  • Proactive executor—you don't wait to be told, you anticipate what's needed
  • Highly organized—you love order, clarity, and creating clean systems
  • Excellent communicator—whether writing emails or updating a Slack thread, you bring clarity and tone-matching
  • Tech-savvy—proficient in Google Workspace, Slack, project management tools (Notion, ClickUp, etc.), Canva, and basic automation tools
  • Time-zone compatible with U.S. Central Time (CST) and available for at least 6 hours of overlap per day

Preferred Qualification:

  • Experience in a health, wellness, startup, or SaaS environment
  • Operations or Chief of Staff-style experience
  • Worked closely with sales, marketing, or customer success teams
